Kolinz AI is built by Quaniac. We take your privacy seriously. This policy explains what data we collect, why we collect it, and how we protect it. We do not sell your personal data. Ever.
Kolinz AI is a product of Quaniac ("we", "us", "our"). We provide an AI-powered meeting transcription and summarisation service accessible via a Chrome browser extension and web application at kolinzai.thequaniac.com ("Service").

Account data: When you create an account, we collect your name and email address. If you sign in with Google, we receive your name, email, and profile picture from Google.
Audio & transcripts: When you use Kolinz to capture a meeting, your microphone audio is recorded locally in your browser, transmitted securely to our servers for transcription via Groq Whisper, and then deleted from our processing pipeline. The resulting text transcript is stored in your account.
Meeting metadata: We store meeting titles, platform (Google Meet, Zoom, etc.), start/end times, and processing status.
AI summaries: The summaries, action items, key decisions, and highlights generated from your transcript are stored in your account.
Usage data: We collect standard server logs including IP addresses, browser type, and timestamps for security and debugging. We do not use this data for advertising.
We do not use your meeting content to train AI models. We do not share your transcripts or summaries with third parties except as described below.
We use the following third-party services to operate Kolinz AI:
The Kolinz AI Chrome Extension requests access to your microphone solely to record audio during meetings you choose to capture. Microphone access is only active when you explicitly click "Start Capture" and is immediately stopped when you click "Stop & Save".
We do not access your microphone at any other time. Audio is processed in real time for transcription and is not stored as a raw audio file on our servers.
The extension also detects when you are on a supported meeting platform (Google Meet, Zoom, Microsoft Teams, Whereby) to display an alert in the side panel. It does not read the content of those pages beyond detecting the URL.
We retain your meeting transcripts and summaries for as long as your account is active. You can delete individual meetings from your dashboard at any time. You can delete your entire account and all associated data from the Settings page, which permanently removes your data from our systems within 30 days.

We implement industry-standard security measures including TLS encryption in transit, row-level security on all database tables (so users can only access their own data), and secure API key management. No system is 100% secure, but we take reasonable precautions to protect your data.
Kolinz AI is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. If the changes are material, we will notify you by email or via a notice in the product. Continued use of the Service after changes constitutes acceptance of the updated policy.
